How to Reduce COD Returns in Saudi Arabia and the UAE: The RTO Playbook for Shopify Stores

To reduce COD returns in Saudi Arabia and the UAE, work the order lifecycle in four stages: confirm every order on WhatsApp within minutes, verify the phone and address before dispatch, keep the customer informed while the parcel moves, and remove friction at the door. Why is RTO so expensive for Gulf Shopify stores?

Industry reporting puts typical RTO at 25 to 35 percent for COD-heavy stores. In the UAE, Quiqup reports COD orders are returned at roughly 12 to 13 times the rate of card-paid orders. Every returned parcel costs you twice:

  • Outbound shipping you already paid the courier

  • Return shipping back to your warehouse

  • COD handling fees on some courier contracts, charged whether or not cash was collected

  • Inventory lockup for one to three weeks while the parcel travels both ways

  • Repackaging and damage on products that come back unsellable

Stage 1: Confirm every COD order before it ships

Most RTO is decided in the first hour after checkout. A COD order costs the customer nothing to place, so impulse orders and half-serious purchases flow into your queue looking identical to real demand. The fix is a confirmation step between checkout and fulfillment.

  1. Send a WhatsApp confirmation within minutes of the order. Include the order number, the items, the total cash due, and the delivery address on file. Ask for a simple yes.

  2. Do not ship unconfirmed orders. Hold them for 24 hours, send one reminder, then cancel silently if there is still no reply.

  3. Treat a "no" as a win. A cancellation before dispatch costs you nothing. The same cancellation at the customer's door costs you two shipping legs.

Stage 2: Verify the phone number and address

Confirmation checks intent. Verification checks whether the parcel can physically arrive. In KSA and the UAE, address quality is a leading cause of failed delivery.

  • Validate the phone number format at checkout (correct country code, correct length). A wrong number means the courier cannot call, and an uncallable COD customer is usually an undelivered COD customer.

  • Ask for a landmark or a Google Maps pin during the WhatsApp confirmation. In practice this single question saves more deliveries than anything else you can do at this stage.

  • Flag repeat offenders. Keep a simple list of numbers and addresses with previous refused deliveries, and require prepayment from them.

Stage 3: Keep the customer engaged until the courier arrives

Between dispatch and delivery, silence kills orders. A customer who ordered on Tuesday and hears nothing until a courier calls on Sunday has had five days to forget, change their mind, or spend the cash. Keep the purchase alive:

  • Send a dispatch notice with the courier name and expected delivery window.

  • Send a day-of-delivery message reminding the customer of the exact cash amount, so the money is ready at the door.

  • Answer WISMO instantly. "Where is my order" queries commonly make up 25 to 50 percent of ecommerce ticket volume (industry reporting). A customer asking about their parcel is showing intent; a slow answer converts that intent into a refusal.

  • Offer rescheduling in chat. "I am not home Thursday" should trigger a new delivery date, not a failed attempt.

Stage 4: Make the delivery attempt succeed

The final leg belongs to your courier, but you still control the inputs. Beyond courier selection:

  • Push confirmed-order metadata to the courier: the landmark, the preferred delivery window, and the verified phone number.

  • Insist on at least two delivery attempts in your courier contract, with a customer contact between attempts.

  • Enable card on delivery where the courier supports it, so "I do not have cash" stops being a refusal reason.

Track three numbers weekly: confirmation rate (confirmed orders divided by COD orders placed), delivery success rate (delivered divided by dispatched), and overall RTO.
